Privacy Policy
ProFormance ("ProFormance," "we," "us") is a player development platform operated by Replay Baseball LLC for baseball training facilities and the coaches, athletes and parents who use them. This policy explains what information the ProFormance website and app (the "Service") collect, how we use it, who we share it with, and the choices you have.

1. Who this policy covers
ProFormance accounts are created by a training facility ("Facility"). The Facility decides who gets an account (coaches, athletes and parents or guardians) and what training information is recorded. We operate the Service on the Facility's behalf. If you have questions about the training information your Facility keeps, you can also contact your Facility directly.
2. Information we collect
Information the Facility or you provide
- Account details: name, email address, phone number (optional), role (admin, coach, athlete, parent) and which athletes a parent or coach is connected to.
- Athlete profile: date of birth, height, weight, position, bats/throws, level of play, school or team, and similar details a Facility records.
- Training records: assigned workouts and programs, completed sets and reps, weights, bar velocity and session notes.
- Assessments and performance data: results from hitting, pitching, strength and mobility assessments, and metrics from equipment the Facility uses (for example force plates, bat sensors and hitting systems), plus reports generated from them.
- Wellness check-ins: an athlete's answers to short daily questions such as sleep, energy, soreness, stress and whether something hurts. This can include basic health-related information.
- Videos and files: training videos, photos and attachments uploaded by athletes or coaches, and comments on them.
- Messages: direct messages, group messages and announcements sent in the Service.
Information collected automatically
- Sign-in information: when you sign in with Google or an email link, our sign-in provider (Google Firebase Authentication) confirms your email address. We do not receive or store your Google password.
- Device and notification information: if you turn on notifications, a push token for your browser or device and your notification preferences (such as quiet hours).
- Basic technical data: server logs with IP address, browser type and the time of requests, used for security and troubleshooting.
We do not use advertising trackers, sell personal information, or use your information for advertising. We do not use athletes' videos, photos, names, voices or likenesses for advertising or marketing. If your Facility uses images for its own promotion, that is covered by your separate agreement with the Facility (such as its participation waiver or media release), not by ProFormance.
3. How we use information
- To run the Service: show training plans, record progress, generate reports and let coaches, athletes and parents communicate.
- To send notifications you or your Facility have turned on, such as workout reminders, new messages and coach alerts, by in-app notice, push notification and, where enabled by the Facility, email.
- To send sign-in, email confirmation and password emails.
- To keep the Service secure, prevent misuse and fix problems.
- To comply with legal obligations.
Wellness check-ins and training data are used to help coaches support the athlete's training. ProFormance is not a medical service and does not provide medical advice or diagnosis.
4. Who can see information
- Your Facility's coaches and admins can see the athletes they work with, including training, assessment and wellness information.
- Parents or guardians connected to an athlete can see that athlete's calendar, reports and related information.
- Athletes see their own information.
- Service providers that host and operate the Service for us, only to provide it:

We do not sell or rent personal information.
5. Children and teens
Many athletes who use ProFormance are under 18, and some may be under 13. Accounts are created only by a Facility. Before a minor's account is created, the Facility obtains a parent's or guardian's consent as part of its registration process, including the participation agreement the parent signs when enrolling the athlete. A parent or guardian may review the information we hold about their child, ask us to correct it, or ask us to delete it and stop further collection at any time by contacting the Facility or privacy@proformanceos.com. We collect only the information needed to provide the training service and do not use children's information for advertising.
6. How long we keep information
We keep information while an account is active so athletes and coaches can see training history. When a Facility deactivates an account, the information is retained so the account can be reactivated, unless deletion is requested. When an athlete is deleted, their training records, check-ins and uploaded videos are deleted. Videos that haven't been viewed for a long time may be moved to lower-cost storage but are not removed until deleted. Database backups are kept for about 7 days and then automatically overwritten, so deleted information may remain in backups for up to that long.
7. Your choices and rights
- Access and correction: ask your Facility or us for a copy of your information or to correct it.
- Deletion: ask your Facility or email us to delete your account and information. Some records may be kept where required by law.
- Notifications: change which notifications you receive, or turn push off, at any time in the app under Notifications.
- State privacy rights: depending on where you live, you may have additional rights under state law. Contact us to exercise them; we will not discriminate against you for doing so.
8. Security
Information is stored on Google Cloud in the United States, encrypted in transit and at rest. Access is limited by role, sign-in is handled by Google Firebase Authentication, and uploaded videos are private and shared only through short-lived links. No system is perfectly secure, but we work to protect your information and will notify affected users and Facilities of a breach as required by law.
9. Changes to this policy
We may update this policy as the Service changes. We'll post the new version here with a new "Last updated" date, and for significant changes we'll notify Facilities or users in the app or by email.
